This course gives users a structured walkthrough of the standard Year End activities in Unit4 ERP, so that users understand essential tasks such as completion of the final 2025/2026 payroll, creation of periods, running a PRU05 (Tax Number Update), validating automated and manual statutory changes, running a PR31 (Change Employee Balances), and checking the areas affected by this year’s release such as Statutory Sick Pay changes and a new Student Loan, Plan 5.

Good working knowledge of Unit4 ERP Payroll. Understanding of payroll processing, payroll periods, payment and deduction setup, and standard Year End routines in Unit4 ERP. The documentation is aimed at super users and assumes knowledge of existing Unit4 ERP functionality.

Course Structure

Session 1

Introduction to Payroll Year End in Unit4 ERP

In this session you will receive an overview of the Unit4 UK Payroll Year End process for 2026/2027, including the purpose of the release, the scope of the annual update, and the activities required to transition from the 2025/2026 payroll year into 2026/2027.

  • What Payroll Year End is in Unit4 ERP
  • The difference between release changes, installation automation, and customer validation
  • The standard process order for completing Unit4 Payroll Year End
  • The difference between automated updates and manual activities

Session 2

Completing the old year and creating the new periods

In this session you will cover the activities needed to complete the final period of 2025/2026 and prepare the new payroll year structure in Unit4 ERP.

The areas it will explain are:

  • Completing the final pay run for all relevant calendar types
  • Using PRU04 ‘Payroll Status Report’ to confirm registers have updated correctly
  • Optional closure of old payroll periods for housekeeping
  • Creating Payroll periods for each calendar type using Generate Periods

Session 3

Running PRU05 – Tax Number Update

In this session delegates will work through the PRU05 ‘Tax Number Update’ process and understand why it remains mandatory even though the standard tax code stays at 1257L for 2026/2027.

This will cover the following:

  • Required PRU05 parameters for 2026
  • Why PRU05 must still be run even without a tax code uplift
  • Resetting Week 1 / Month 1 tax basis to Cumulative

Session 4

Automated statutory updates and PRU02 – Automatic Setup fallback

In this session delegates will review which Year End changes are now applied automatically by installation scripts and when PRU02 ‘Automatic Setup’ is still needed.

This will cover the following:

  • Which rates and settings are updated by the installation scripts
  • Understanding PRU02a output and validation
  • Validating loaded values in PR44 ‘Formula Rate Interval’
  • Additional threshold updates such as Auto-enrolment, Teachers’ Pensions, and LGPS where relevant

Session 5

Running PR31 – Change Employee Balances and validating Year To Date balances

In this session delegates will learn how to reset and initialise the Year To Date balance references required for the new payroll year.

This will cover the following:

  • The purpose of PR31 ‘Change Employee Balances’
  • The key value references reset as part of Year End
  • Running PR31 for active and parked employees

Session 6

What is new for 2026/2027

In this session delegates will review the key legislative and product changes introduced with the 2026/2027 UK Payroll Year End release.

This will cover the following:

  • Statutory Sick Pay reform from 6 April 2026
  • Removal of the Lower Earnings Limit condition for SSP eligibility
  • Removal of waiting days and introduction of day 1 SSP entitlement
  • The new 80% of earnings SSP rule and associated value reference setup
  • Review and closure of open-ended SSPPAY relations where appropriate
  • Student Loan Plan 5 setup, notices, and payroll processing changes
  • Removal of State Aid items from the Employment Payment Summary
  • Northern Ireland parental bereavement/paternity changes
  • Small Employers Relief compensation increase

Session 7

Post-install checks, fixed registers, and report variants

In this session delegates will review the setup areas that may still require manual validation or update after the Year End installation.

This will cover the following:

  • Checking statutory value references such as USMA and related rates
  • Reviewing Student Loan thresholds
  • Reviewing Small Employers Relief setup and customer-specific value references
  • Updating system setup values
  • Reviewing report variants
  • Updating enquiry templates where relevant
  • Reviewing car and P11D-related setup loaded by script

Session 8

Practical recommendations

In this session delegates will consolidate the end-to-end process and focus on practical recommendations, validation points, and common errors that can affect first payroll processing in the new tax year.

This will cover the following:

  • Why process order matters
  • Why report / trial mode should be used before update where available
  • Why automation still requires validation
  • Common issues with payroll periods, report variants, and statutory values
  • SSPPAY relation review considerations
  • Recommended readiness checks before running the first 2026/2027 payroll
  • How to approach Year End safely where customised payroll setup exists
